Is Copilot better than ChatGPT?

Choose Microsoft 365 Copilot when your source material, permissions, and finished work already live in Outlook, Teams, Word, Excel, PowerPoint, SharePoint, and OneDrive. Its advantage is native Microsoft 365 context and in-app execution.

Choose ChatGPT when your work crosses several systems or needs a general workspace for research, files, data analysis, voice, images, projects, and custom workflows. ChatGPT can connect to Microsoft sources too, but connection availability depends on plan, administrator settings, and permissions.

If both remove different bottlenecks, test both. If they repeat the same step, keep the one that produces the better verified result with fewer handoffs.

I work on enablement and customer education systems where the final output has to survive subject-matter review, brand review, accessibility checks, and a real delivery environment. That changes the comparison. A clever answer is not the finish line. The finish line is approved work in the right place.

This article deliberately avoids a universal accuracy score and a model leaderboard. Both vendors change models and entitlements often. The durable question is where the source material lives, what must be produced, which permissions apply, and how much cleanup remains.

First, define which Copilot you mean

“Copilot” is a product family, not one subscription. Microsoft offers consumer Copilot experiences, Microsoft 365 Copilot Chat for eligible work accounts, paid Microsoft 365 Copilot plans, Copilot Studio for agents, and GitHub Copilot for software development. They have different integrations, limits, and commercial terms.

This comparison focuses on Microsoft 365 Copilot for work versus ChatGPT. GitHub Copilot is a separate developer product. The free consumer chat experience is not equivalent to the paid Microsoft 365 product grounded in organizational data.

My operator verdict

For an organization already standardized on Microsoft 365, Copilot has the cleaner path to email, meetings, documents, spreadsheets, and tenant permissions. For independent or mixed-stack work, ChatGPT is usually the more flexible first purchase. I would not choose either from a benchmark screenshot.

When Microsoft 365 Copilot wins

The work must stay inside Microsoft 365

Microsoft documents Copilot features in Word, Excel, PowerPoint, Outlook, Teams, Loop, and other services. Examples include drafting and editing in Word, formula and chart suggestions in Excel, thread summaries in Outlook, presentation creation in PowerPoint, and meeting or chat assistance in Teams. Exact availability depends on the license and tenant configuration.

This is more than a convenient sidebar. If the source is an Outlook thread, a Teams meeting, a SharePoint page, and an Excel model, moving the task into a separate chat creates handoffs. Native access can keep the work closer to its source and destination.

Permissions and governance are part of the job

Microsoft says Microsoft 365 Copilot uses organizational content through Microsoft Graph and only exposes content a user is permitted to access. Its enterprise data protection documentation says identity controls, sensitivity labels, retention policies, audit, and administrative settings continue to apply. Prompts, responses, and Microsoft Graph data are not used to train foundation models.

That does not make every deployment automatically safe. Overshared SharePoint sites remain overshared. Agents can introduce separate terms and data paths. A responsible rollout still needs permission cleanup, use-case approval, training, and measurement.

Your output is a Microsoft file, not just an answer

If success means an updated Word document, an analyzed Excel sheet, a presentation in the company template, or a response inside Outlook, the destination matters. An assistant that works inside the destination can beat a slightly better draft that must be copied, reformatted, and rechecked elsewhere.

When ChatGPT wins

The workflow crosses systems

ChatGPT is the stronger default when the source pack includes web research, PDFs, spreadsheets, screenshots, transcripts, code, and files from several services. It gives you one general workspace for analysis, drafting, data work, images, voice, and reusable projects.

That flexibility matters for consultants, founders, creators, analysts, and teams whose work does not begin and end inside Microsoft 365. The value is not that ChatGPT can do every task perfectly. It is that one workspace can hold the brief, evidence, revisions, and final checklist.

You want connected Microsoft data without making Microsoft 365 the whole interface

The old comparison said ChatGPT required manual uploads for Microsoft data. That is no longer generally true. OpenAI documents connected apps for Outlook, Teams, and SharePoint. The SharePoint app can search and reference work or school content the signed-in user can already access, and supported organization plans can add administrator-managed controls or sync.

This narrows Copilot’s integration advantage, but does not erase it. A connected app inside ChatGPT and Copilot embedded in Word or Excel are different workflows. Test the actions you need, not the existence of a connector tile.

You need a broad personal AI workspace

OpenAI’s individual plans combine chat with files, data analysis, image generation, voice, projects, tasks, and custom GPTs at different limits. If your weekly work spans several of those modes, ChatGPT can be easier to justify than a tool bought mainly for one software suite.

Do not compare only the AI line item. Include the base productivity license, storage, administration, implementation, permission cleanup, training, support, and the human review still required. A cheaper seat can cost more if the workflow adds five manual handoffs.

Copilot vs ChatGPT for security and privacy

For company data, compare the actual organization plans and agreements. Microsoft states that Copilot and Copilot Chat under enterprise data protection respect organizational controls and do not use prompts, responses, or Graph data to train foundation models. OpenAI states that inputs and outputs from ChatGPT Business, Enterprise, Edu, and API offerings are not used for training by default.

Personal workspaces are different. OpenAI says users of personal Free, Plus, and Pro workspaces can turn off “Improve the model for everyone” in Data Controls. Microsoft consumer terms and settings also differ from organizational Copilot. Do not treat a personal subscription as a substitute for an approved business deployment.

Microsoft Copilot, Microsoft 365 Copilot Chat, Microsoft 365 Copilot, Copilot Studio, and GitHub Copilot are not interchangeable. Name the license before comparing features.

2. Comparing model names instead of access

A model advertised on a product page may have different availability, limits, or priority in your plan. Test the account and environment you can actually use.

3. Ignoring the source and destination

The same answer can be efficient in one environment and expensive in another. Count the work required to retrieve sources, preserve citations, format the output, and put it where colleagues can use it.

4. Treating a connector as native integration

Connected apps can remove manual uploads, but they do not automatically recreate every in-app action. Test the exact workflow, including permissions and write actions.

5. Uploading company data to a personal account

Consumer and organization plans have different controls and contractual terms. Convenience is not authorization.

6. Buying two seats with no division of labor

Assign each tool a clear job. If both perform the same step and neither changes the outcome, one subscription is redundant.

Choose Microsoft 365 Copilot if your highest-value work happens inside Microsoft 365, your organization needs Microsoft-native permissions and administration, and the finished output belongs in those apps.

Choose ChatGPT if your work spans systems, formats, and research sources, or if you want a broad personal AI workspace that is not tied to one productivity suite.
